OMM - IMS

Oilfield Material Management provide an extensive range of downhole drilling tools for rental to the oil & gas industry worldwide. Largely consisting of drill collars, stabilizers, hole openers, roller reamers, various subs, tubing and drillpipe, their drilling equipment has assisted many drilling companies and operators in meeting their objectives.

OMM had a manual system that they used to track their rental tools based on spreadsheets and paper printouts. In 2004, OMM approached Codify to replace this with custom software that would resolve four main issues.

Firstly, the amount of information that needed to be processed was in excess of 2000 transactions a day. The sheer scale of this meant it was almost impossible to keep up with administration and to trace a tools location. Secondly, the speed of processing the transactions was a burden as data had to be manually duplicated into different areas. For example, the shipping out of a tool alone required information to be duplicated into 12 different areas. The third reason was the scope for human error. Due to the high level of duplication, it was easy for errors to occur. For example, if a user entered the wrong serial number this would cause problems between departments and potentially with customs control. Finally, some clients were not being invoiced or being invoiced incorrectly due to lost or inaccurate information passed between the departments.

As the data is now stored in a central database it has removed the need to duplicate information which has saved time and reduced the possibility of administrative error. OMM can now have instant access to their data which has brought benefits to both OMM and their customers as Irene Holden, Director explains, "IMS has allowed us to provide our clients with a faster turnaround for their orders. In addition, if a customer rings with an urgent requirement we can check availability whilst they are on the phone and quickly reassure them that a specific tool is available."

An audit trail gives OMM 100% traceability of all the transactions that take place in IMS. This gives OMM's management the ability to monitor the team to make sure their staff perform as expected and ensure they are providing the high level of service that their clients expect.

IMS has allowed OMM to maximise the utilisation of the rental fleet through reports that can be generated from IMS such as highlighting where there are equipment shortages or surplus. OMM also use reports to allow them to monitor the business and to highlight where any inefficiency is occurring, such as the time taken to repair equipment at their facilities.

Furthermore, the invoicing module has sped up the invoicing process. OMM used to print out the delivery tickets and type them into a spreadsheet to create an invoice. IMS now generates the invoices so there is no need to type them out manually saving time, preventing human error and lowering administrative costs.
